Introduction
This Privacy notice is written by Emma Oliver-Trend, in partnership with Cornwall Music Education Hub and relates to the Loft Room Sessions (LRS). The safeguarding of young people will be the priority of the Loft Room Sessions, and their security online will be managed carefully. This privacy notice includes contact details of the organiser, information about what data will be collected, the uses and storage of that data, and your rights in relation to access to that data.

Who we are?
The project organiser is EMMA OLIVER-TREND. Parents and carers of LRS participants are welcome to contact Emma at any time to raise a query about this privacy notice, or the project.eolivertrend@gmail.com
What information do we collect?
The information collected for this project includes the following
- Participant name
- participant age
- participant instrument
- participant number of months/years played
- city/town/village/postcode of residence
- parent/carer name
- parent/carer email address .
This data will be collected at the point of registration and is collected through the professional website of Emma Oliver-Trend.
How do we use personal information?
This information will be used to:
- build a register from which a secure Zoom identification entry system can be created,
- plan suitable musical activities
- provide essential parent/carer contact details
- evaluate the effectiveness of promotional activities
- evaluate the geographic spread of the members, to inform future activity
What legal basis do we have for processing your personal data?
Your personal data is processed on the condition of your consent. Completing this online form assumes your consent to the data being collected. If you would like to withdraw your consent you can do this at any time by emailing Emma Oliver-Trend with a statement that you withdraw your consent to collect your personal data and any data already collected will be deleted with immediate effect. If there are single fields on the form to which you do not give consent, please do not complete those.
When do we share personal data?
Your personal data will be treated confidentially. It will be used only by the event organiser, and shared with Cornwall Music Education Hub for event evaluation. It will not be shared with any other parties.
Where do we store and process personal data?
Personal data is stored on a secure computer by the event organiser
How do we secure personal data?
Appropriate measures are taken to protect personal data including password protected hardware and software, no copying or sharing of the data
How long do we keep your personal data for?
Personal data will be stored only for the period of this project and for a short period of evaluation after the project. The data will be securely disposed of within 1 month after the final event of the project.
Your rights in relation to personal data
You have the right to access your personal data at any time, to request corrections, deletion* or withdraw consent of use*. If you wish to exercise these rights, please email the organiser.
*Exempted fields include: Parent/carer email and Zoom name, as these are required to fulfil the safeguarding requirements of the project.
If you have a complaint about the management of your personal data in respect of this project, you can email the organiser, Emma Oliver-Trend, or the Information Commissioner’s Office.
